What to discuss with your interpreter before travelling

There is no form to complete or long message to prepare for the first conversation. Just call and tell me when the interview is taking place. This checklist will help you cover the essentials.
Give the date, time and city
Start with the interview date and time as shown in the appointment confirmation. Confirm that the interview is in Kraków so we can discuss whether I can accompany the applicant in person.
If you are still planning the trip and do not have a confirmed appointment, say so. There is no need to present an estimated date as a confirmed one.
Explain who needs interpretation
Tell me whether you are the applicant or calling for a family member. Explain whether the applicant prefers Russian or Ukrainian. If several people will attend, discuss the group arrangements separately.
Think about how the person normally communicates. If a slower pace or shorter explanations help, mention it before the meeting.
Check what is included and the price
My support costs 300 zł or €70 for one interview. It includes support on the day, help before entering the consulate and full interpretation during the interview.
If you are unsure whether a particular request is included, ask directly. It is better to agree on expectations beforehand than assume something that has not been discussed.
Agree on a precise meeting point
“Near the consulate” may not be clear enough for someone visiting the city for the first time. Agree on a specific place and time, and write them down with the interpreter’s number.
Keep the meeting time and the actual appointment time separate in your notes. If you are arranging the trip for your parents, make sure they understand the difference.
Discuss the interpreter approval process
Do not leave admission arrangements until the morning of the interview. Check the current appointment instructions and discuss the necessary steps in advance. The process may depend on the interview type.

Write down the arrangements afterwards
Make sure you have four clear answers: who will meet you, where, when and which number to call. If anything changes, use the agreed contact method to let the other person know.

Arranging support with me does not replace consular approval for the interpreter to attend. Arrange the interpreter’s participation in advance following your appointment instructions and wait for confirmation. Do not assume an interpreter can be added at the entrance on the interview day.
